Busby SEO Test Policy Suggestion for New SEO Community (version 1.0)

Busby SEO Test Gary (yes, that’s me) gave Janette a buzz last week about the recent developments in the S-E-O-Philippines community and where a group is open in exploring the possibility of creating a new one. I asked her to draft a policy as per go signal from one of the supporters.

It will help if there is a policy first to ensure clarity among those who will be part of this. Note that these are just ideas and very open to suggestions. The group who will eventually be part of the new Forum will have to approve these rules prior to community creation.

I. Forum

1. Forum Creation

A new forum shall be created based on current volunteers and supporters this January 2009. Contributions given shall be used to cover web host cost and domain name. All donors shall be recognized in a forum page for their support.

Initial organizers of this forum are referred to as Caretakers. They will also perform the following:

• Function as forum moderators.
• Post collection and expenditures of the forum for transparency.
• Maintain funds in a joint checking bank account with a minimum of 3 to 5 signatories.
• Organize activities that will promote camaraderie and knowledge sharing in the forum using resources or funds gathered.
• Caretakers are not excluded from complying to full-pledge membership requirement.
• Turnover forum funds, rights, settings, among others to Charter Board Members upon creation.

2. Forum Access
The forum is open to anyone interested who wants to learn about search engine optimization and marketing.

3. Forum Name

Possible choices for the name are as follows: (your suggestions are more than welcome)

• Search Engine Marketing Professionals Philippines
• Search Engine Optimization Professionals Philippines
• Search Engine Optimization and Marketing Professionals Philippines
• Search Engine Optimizers Philippines
• Search Engine Marketers Philippines
• Search Engine Optimizers and Marketers Philippines

4. Forum Membership

A member is considered as a full-pledge forum member if the following is met:

• Made 100 post in the forums
• Paid a membership fee of 500 pesos. This amount shall be used to cover cost of hosting, domain name renewal, and incorporation start-up fund.

5. Member Rights

• Be allowed to vote on forum issues and officers election.
• Volunteer or be nominated as a board member.
• Put signature in one’s profile.
• Access to members-only area.

6. Member Obligations

• Help fellow members in the forum by sharing resource and knowledge.
• Observe proper conduct, ethics, and respect to fellow members in the forum. This includes resolving concerns privately with fellow members, if any.

7. Forum Moderators

• A full-pledge member that has reached 500 post can serve as a forum moderator (6-months tenure) to an existing or new topic.

II. Formalization of New SEO Community

1. Nomination of Charter Board Members

• Six to nine (6 to 9) months after forum creation, an online election shall be organized to name the 15 board members of this community. They represent, ideally and equitably, various supply-chain players like SEO freelancers, vendors, service providers, and clients.
  - The 15 Charter Board Members shall meet after to elect the following amongst themselves:
  - President
  - Vice President
  - Secretary
  - Treasurer
  - Auditor
  - All other board members shall handle a committee and project.
• Charter Board Members shall serve 2 years term of office to properly jump start and establish the organization.
• Induction of Charter Board Members and full-pledge members shall be done before the end of 2009.

2. Function of Charter Board Members

• Finalize the name of the community to be registered at the Securities & Exchange Commission as a non-stock, non-profit organization.
• Process related permits for the organization to issue official receipts whenever necessary.
• Accept funds turned-over by Caretakers for bank account creation.
• Finalize organization charter and related rules. At the minimum, the rules shall include:
  - Only 8 from current slate of board members can be elected to the new board. This is to ensure inflow of new leadership faces in the organization.
• Undertake activities that may include the following, but not limited to:
  - SEO workshop or camp for members
  - SEO/SEM industry conference
  - SEO competition
  - SEO research
